Admissions automation that checks documents before a counsellor opens the file.

In admission season, an office can receive hundreds of forms, each with marksheets, certificates and photos, many of them phone snaps. We can build an automation that sorts and checks those documents before a counsellor picks up the file.

Example workflow. Not client work.

What happens to an application

  1. Input. An online application with uploads: Class 10 and 12 marksheets, transfer certificate, birth certificate, photo and, where claimed, a category certificate.
  2. AI sorts and reads. Each upload is labelled by document type. The applicant's name, date of birth, board, and percentage or CGPA are read from the marksheets.
  3. Checks. The documents your programme requires are all present. The name on the marksheet matches the form. The score is compared with the cut-off your institution sets, using your own conversion rule where a board gives CGPA.
  4. Exception. A name mismatch (initials on the marksheet, full name on the form) or an unreadable scan goes to a counsellor.
  5. Record. The applicant’s status updates in your admissions tracker, or in your ERP or student information system if it offers an API or data export. Where applicant records are hosted is chosen with you in the scope. Missing documents are listed against the applicant.

A follow-up queue sends reminders for missing documents on the dates you choose.

Where your team decides

  • Below the cut-off. The automation does not turn anyone away. The applicant goes to a counsellor's list, because management quota, lateral entry or a board-specific rule may still apply.
  • Certificates. Category certificates go to the admissions office for verification. The automation checks that a document is present, readable and consistent with the form; judging whether it is genuine stays with your office.
  • Offers and fees. A payment link for the admission fee goes out only after the admissions office approves the offer.

Different boards, one checklist

CBSE, ICSE and state boards print marksheets in different layouts. The scope includes sample marksheets from the boards your applicants come from, so the reading step is tested on those layouts before launch.

FAQ

What if a scan is too blurry to read?

It goes to a counsellor’s list with the unreadable page marked, so staff can ask the applicant to upload it again.

How is consent handled for applicants under 18?

Your admissions office obtains the consent, from a parent or guardian, in the way it already does. We build the automation to follow that: an applicant your records mark as under 18 with no consent on file gets no automated reminder, and the file goes to a counsellor instead. What is collected and how long it is kept is decided with you and written into the scope.
